I need to be able to send out reminders to clients who are falling behind on scheduling. Is there some kind of link I can send them?
Note: this article is about scheduling sessions for active Satori Agreements. To book sessions for new clients, or when you haven’t yet created an Agreement, use an Offer.
Satori provides several ways for your clients to access and update their session schedule.
Sending a specific booking link to a client
When to use this method:
You have a client with an active agreement, and you want to send them a reminder about scheduling their next session.
Emailing a session link to your client:
- Open your agreement from the Agreements section, or the Current Agreements list on the Dashboard.
- Open the Sessions tab to view the appointment schedule.
- Find the next unscheduled session in the list, and select View Booking from the action menu next to that session. The session booking details are displayed.
- Copy the URL from the Location Bar of your browser window.
- You can email this URL to your client to give them access to schedule this particular session.
Creating a client login
When to use this method:
You have a client with an active agreement, and you want to send your client an invitation to create their own account login, so they can mange their schedule at their convenience.
Emailing a signup invitation to your client:
- Open your agreement from the Agreements section, or the Current Agreements list on the Dashboard.
- Navigate to your agreement’s Summary tab. If your client has not yet created a login, you will see a message explaining how to send them a signup invitation by email.
- If desired, edit the Subject and Message fields to personalise the invitation to your client. Satori will automatically add the salutation line to the top of the email, so you can omit that from your message.
- Click Email Invitation to send the invitation email. The email contains a link that your client can use to complete the setup of their account.
Note: clients can also create an account login immediately after placing their initial booking.
Automatic scheduling reminders
Satori can automatically email your clients when it’s time for them to schedule their next session. You can enable or disable this feature for each Offer or Agreement you have.
Satori sends these reminders to clients with active agreements who have unscheduled sessions available. The emails typically go out about 24 hours after the client’s previous appointment.
Note: these reminders are totally different and separate from Session Reminders—which remind clients about upcoming appointments. Session Reminders are sent out for every session, regardless of whether you enable or disable this setting.
When to use this method:
You’re creating a new Offer or Agreement, and you would like Satori to automatically follow up with your client when its time for them to schedule their next session with you.
Enabling automatic scheduling reminders for your offer:
- Open the Agreement or Offer you want to enable scheduling reminders for.
- Navigate to the Sessions tab.
- Select Enabled for the Scheduling Reminders field.
- Click Save.
Keep in mind that changes you make to an Offer will apply for any new agreements that are created from it, but will not effect existing agreements.
