Availability is how you tell Satori when you want to allow clients and prospects to schedule time with you.
Satori gives you a great deal of flexibility in managing your coaching schedule: You can set-up repeating schedules, make arbitrary changes or exceptions, and divide up your schedule between different offers or clients.
The availability calendar
You edit your availability schedule on the Availability Calendar. To access your availability calendar:
- Click on the Calendar icon, on the main nav bar.
- Select Availability from the calendar sidebar.
Note: you can also access the availability calendar on the Availability Tab of any offer or agreement. This is useful when you need to make quick edits to your schedule while setting up a new offer.
Availability types
If necessary, you can split your availability schedule in to multiple segments or types. This is useful if you need to divide your time between multiple locations, or want to offer different services at different times of the day or week.
By default, your Satori account contains a single availability type called All Sessions, but you can create your own types and name them appropriately for your practice.
You can divide your availability periods between various types and decide which availability types will apply to which offers.
To create a new availability type:
- Click on the New Availability Type button.
- Enter a name for your new availability type.
- Press Return on your keyboard.
Adding availability blocks
To add an availability block to your schedule:
- Select an availability type in the sidebar to put the calendar into Availability Mode.
- Hold your mouse button down over the main calendar view and drag your cursor downwards to open a new availability block (just like you would if creating an event in iCal or Google Calendar).
- If you want to repeat the block on a daily / weekly basis, select Repeating from the When menu, and configure the repeating options.
- Click Save.
Making arbitrary exceptions to your schedule
Once you’ve entered your general availability schedule, you can make arbitrary changes and exceptions.
To change the start time of an existing block:
- Hold your mouse button down near the top of the availability block and drag it to a new position on the calendar.
- If the block you changed was part of a repeating pattern, you can choose to apply your changes to all subsequent occurrences of the block, or just to one single occurrence.
To change the duration of an existing block:
- Hold your mouse button down near the bottom edge of the availability block and drag it to a new position on the calendar.
- If the block you changed was part of a repeating pattern, you can choose to apply your changes to all subsequent occurrences of the block, or just to one single occurrence.
To delete an availability block:
- Click the block with your mouse to select it (the block changes colour when selected).
- Press the Delete key on your keyboard.
- If the block you selected was part of a repeating pattern, you can choose to delete all subsequent occurrences of the block, or just this single occurrence.
Adding busy periods
Busy periods are an alternative way to block off time that would otherwise be available for booking. They can be handy if you want to make a quick exception to your general availability schedule but don’t want to change your normal availability pattern.
To add a busy period to your calendar:
- Select Busy Periods in the sidebar to place the calendar in event mode.
- Hold your mouse button down over the main calendar view and drag your cursor downwards to open a new busy period (just like you would if creating an event in iCal or Google Calendar).
Note: Satori will automatically sync changes from calendars that you’ve connected to your account and update your availability accordingly. You don’t need to use busy periods to block off time that is occupied by another calendar event, or that isn’t part of your availability schedule.
