Agreements provide a container for your work with specific clients. In Satori, sessions are always connected to agreements; and you always need a current agreement for a client to add new sessions for them.
Satori automatically creates agreements for you whenever someone makes a new booking on one of your current offers, so often this is done for you automatically. But you can also create them yourself, if you need to.
Managing client schedules
There’s two different ways you can manage client schedules in Satori:
- On the Agreement Session List; and
- On the Main Calendar Page.
They each behave a little differently. The following section explains the differences and what each of them is useful for.
Scheduling on the agreement session list
The Agreement Session List shows an ordered list of all the sessions that are associated with a particular client agreement. You can use this page to quickly see how many sessions your client has used, how many they still have available, and to get a quick summary of their future session dates.
This page is similar to the interface your clients can use to manage their own schedules when they’re logged into Satori.
When you schedule sessions from this page, Satori send notification emails to your client, and applys the same availability constraints that would normally apply if your client was scheduling the session themselves.
To view the agreement session list:
- On the Dashboard, click on one of your Current Agreements.
- Click on the Sessions tab to view the schedule.
To schedule a new session:
- Click on the actions menu for any unused session.
- Select Schedule from the dropdown list.
- Satori displays the standard booking calendar for this session.
- Navigate to the desired day, and select a time on the calendar.
- Click Continue.
- Enter a message for your client to accompany the scheduling notification.
- Click Schedule.
- You are returned to the session list and the session is now scheduled.
To reschedule an existing session:
- Click on the actions menu for a currently booked (but as yet unused) session.
- Select Reschedule from the dropdown list.
- Satori displays the standard booking calendar for this session.
- Navigate to the desired day, and select a time on the calendar.
- Click Continue.
- Enter a message for your client to accompany the scheduling notification.
- Click Schedule.
- You are returned to the session list and the session has been rescheduled.
Note: you cannot use this method to reschedule a session that has already been used. Use these instructions forrescheduling a past session.
To cancel a session:
- Click on the actions menu for a currently booked (but as yet unused) session.
- Select Cancel from the dropdown list.

Scheduling on the main calendar
The Main Calendar Page shows a visual overview of your whole schedule (including availability, and other calendar events) for all clients. You can use this page to review your entire schedule, manage your availability, and make small adjustments to individual coaching sessions.
If you want to make adjustments to the schedule for a particular client, or schedule multiple sessions, consider using the Agreement Session List instead.
When you schedule (or reschedule) sessions on the main calendar, Satori sends an email summary of the changes to effected clients.
To view the main event calendar:
- Click Calendar on the main navigation bar.
To schedule a new session:
- Make sure that the Sessions item is selected in the calendar sidebar.
- Click on any available space on the calendar view and (while still holding your mouse button) drag your mouse pointer downwards to create an new event. This is similar to the way you might create events in Google Calendar or Apple Calendar.
- A popover appears for you to select a client.
- Begin typing the name of your client to search for them (note: they must already be present in your contacts.)
- Select your client from the list of search results.
- The popover changes to show the details of the session event that will be created.
- On the Agreement menu, select the agreement that you want this session to be added to.
- Click Save.
- The session is scheduled against the agreement that you selected.
Note: if the agreement you selected has unused sessions on it, one of them will be consumed as the session you just scheduled. If there are currently no unused sessions on the agreement, an additional session is added.
To reschedule an existing session:
- Use the Next and Previous arrow buttons to navigate to the appropriate week on the calendar view.
- Click on the target session with your mouse pointer to select it. The session changes colour when selected.
- Place your mouse pointer over the top part of the session event.
- The mouse cursor changes to indicate that the event is draggable.
- Drag the event to another available space on the calendar view.
- The session is rescheduled.
To cancel a session:
- Use the Next and Previous arrow buttons to navigate to the appropriate week on the calendar view.
- Click on the target session with your mouse pointer to select it. The session changes colour when selected.
- Press the Delete key on your keyboard.
- Satori will ask you if you want to delete the session entirely, or just unschedule it. Unscheduling a session removes it from the calendar but returns it as an unused session that you or your client can reschedule in the future. Deleting a session eliminates it entirely. Choose your preference.
- The session is removed from your calendar.
